Supply chain software for the UK food and beverage industry
The average UK food business loses £156,600 a year to avoidable waste — and 7.29% of perishable stock never makes it out of the warehouse. We help food and drink businesses fix the systems causing it.
Food & Beverage Supply Chain Software: Balloon One

Trusted by leading brands:
What’s squeezing UK food and beverage in 2026.
Ask any operations director in UK food and drink what changed in 2026 and you get the same answer: nothing got easier, and everything arrived at once. Regulation that used to land sequentially now lands simultaneously. Energy and ingredient costs have moved again. And the operational slack businesses once used to absorb these shocks has already been spent. These are the six pressures we hear most often — and what each one actually costs.
Margin compression with nowhere left to cut
Food and drink manufacturing is a £42bn industry and confidence in it has been negative for nine consecutive quarters. The FDF has revised its food inflation forecast up to 9–10% by the end of 2026 on the back of energy and global logistics shocks.
Employer NIC and National Living Wage rises have already been absorbed. When you can’t raise prices and can’t cut labour, operational efficiency is the only lever left — and most businesses lack the data to see where efficiency is leaking.
Avoidable waste hiding inside legacy systems
The cost nobody budgets for. Our research with over 500 UK supply chain managers found:
- £156,600 lost annually by the average business to avoidable waste
- 7.29% of perishable stock lost to internal errors alone
- 36.6% name outdated technology as a primary driver
The uncomfortable finding was a complacency paradox: waste rising while confidence in the systems causing it stays high.
A regulatory pile-up, not a regulatory calendar
2026 is the year packaging compliance stopped being an admin task and became a cost line: modulated pEPR fees from July 2026 under the Recyclability Assessment Methodology, with the Red multiplier at 1.2x now, 1.6x in 2027 and 2.0x by 2028.
Base fees are rising too, and the Product Regulation and Metrology Act 2025 has been in force since 1 January 2026. Add FSA traceability duties and BRCGS audit cycles and compliance becomes a data problem.
Traceability you can’t prove in under an hour
Most food businesses can trace a batch. Fewer can do it fast, and fewer still under audit pressure with the auditor in the room.
When traceability lives across a WMS, a spreadsheet, a supplier email and someone’s memory, a mock recall takes half a day. A real one takes longer than you have. The cost isn’t the fine — it’s the width of the recall. Every hour of uncertainty means more product pulled than necessary.
Labour cost, churn and seasonal peaks
Wage costs are up and availability is down, but food and drink operations still need to scale headcount for Christmas, Easter and summer.
Every temporary worker who needs three days of training before they are productive is a margin drain — and an accuracy risk in an environment where the wrong batch shipped is a food safety incident, not a returns cost.
Fragmented systems and no single version of the truth
Orders in one system, stock in another, transport on a whiteboard, packaging data in a spreadsheet. It works — until you need to answer a question that spans all four.
Interoperability gaps and rising cybersecurity exposure now sit near the top of the risk register for most food and beverage supply chains, and fragmented system estates are the root of both.
Underneath, every one of these is the same problem: decisions being made without accurate, connected, real-time data. That is a fixable problem.
How Balloon One helps food & beverage businesses.
We are not a reseller who hands you a licence and a phone number. Balloon One selects, implements, integrates and supports your systems in-house — and because the majority of our customers are food and drink businesses, the FEFO rules, catch weights, temperature zones and recall workflows are configured and working on day one, not bolted on in year two.
Each capability below answers one of the six pressures above. Follow the links for the detail.
Cut avoidable waste and recover margin
FEFO enforcement, real-time expiry tracking, shelf-life rules matched to each customer’s tolerances, and cycle counting that shows you where accuracy is actually leaking.
Food & beverage WMS in detail →Prove traceability and food safety
Lot, batch and consignment traceability with built-in recall management, temperature and humidity logging across ambient, chilled and frozen zones, and putaway profiles that prevent cross-contamination.
Traceability and cold chain →Turn compliance into a query, not a project
SKU-level material, weight and catch-weight data so packaging and EPR reporting comes out of live systems — and FSA and BRCGS evidence is already there when the auditor arrives.
Warehouse compliance guide →Do more with the headcount you have
Scanner-guided tasks get seasonal staff productive on day one. Voice picking and pick-to-light lift accuracy at volume, and AMRs move goods so your pickers spend their time picking.
Supply chain automation →One version of the truth
Balloon One Xchange (BOX) connects WMS, ERP, e-commerce, marketplaces, suppliers and customers so data moves without re-keying — with SAP Business One as the commercial backbone.
Integration platform →Reporting your board will actually read
Our Supply Chain Insights module for Power BI turns operational data into the waste, accuracy and service-level numbers you need to build a business case for change.

Food & beverage supply chain FAQs.
What is a food and beverage WMS?
A warehouse management system built for the constraints food and drink operations actually have: expiry-driven stock rotation (FEFO), batch and lot traceability for recall, temperature zone control, allergen segregation and catch weight handling. A generic WMS manages locations and quantities. A food WMS manages shelf life, safety and provenance.
How long does a WMS implementation take for a food business?
Typically three to six months for a mid-market operation, depending on site count, temperature zones and integration scope. We scope it properly at consultation stage rather than quoting a number blind.
Can one system handle chilled, frozen and ambient?
Yes. Integrated temperature zone management directs stock to the correct zone automatically and logs conditions for audit — which is exactly the mix Midland Chilled Foods runs across frozen, chilled and ambient.
Will it integrate with our existing ERP or e-commerce platform?
Yes, via Balloon One Xchange (BOX), our cloud integration platform. We also implement SAP Business One if you are replacing the ERP at the same time.
How does a WMS help with EPR and packaging compliance?
By giving you accurate SKU-level data on packaging materials, weights and volumes, so reporting is a query against live data rather than a quarter-end spreadsheet exercise. With fees now modulated by recyclability, accurate material data directly affects what you pay.
Do you work with 3PLs?
Yes, including multi-client food logistics operations with client-specific shelf-life rules, segregated traceability reporting and billing by client.
